People dictate case files, medical notes and client conversations into VoiceFlow. Here is plainly how that data is handled.
Recordings, transcripts, dictionary entries and exports belong to your account. We do not sell them, publish them, or hand them to advertisers.
You can edit or delete any transcript from your workspace, and export your text whenever you want a copy outside VoiceFlow.
Every table enforces row-level security. A signed-in account can read only its own rows, or rows belonging to an organisation it is a member of — that rule is applied by the database, not by front-end code.
Team access follows explicit membership and roles. Removing someone from a team removes their access immediately.
Audio is sent over encrypted connections to a speech provider for the sole purpose of producing your transcript, then your text is stored against your account.
The speech layer is a swappable provider abstraction, so VoiceFlow can move to a different or on-shore provider without changing your data or your workflow.
Provider API keys live only in server-side environment variables. The browser never receives them, and no third-party key is embedded in the app you download.
Sensitive actions — transcription, exports, device pairing, key creation — are recorded in an audit log tied to your account.
Pairing a computer uses a short-lived, single-purpose code that expires quickly. You can revoke any paired device from your workspace at any time.
The browser cannot type into other applications, by design. Only the paired desktop companion can insert text at your cursor, and only while you run it.
Transcript history follows your plan. Deleting a transcript removes its text and segments from your workspace.
If you want your whole account and its content removed, contact support and we will delete it.
